Our booking policy contains important information regarding Nepal tour/trek booking with Adventure Club Trek. Please take the time to read the policy carefully. The Booking terms and conditions constitute a legally binding contract between Adventure club Trek and you for the services provided by ACT and set out the basis of your legal relationship with ACT regarding reservation and Payment:
Terms and Conditions
For the services agreed upon and contracted, a payment of 20% is normally required to confirm the booking. The balance can be paid either before departing from your country or upon your arrival in Nepal, but before the commencement of your services in any case. However, in certain cases, which might involve special hotel or resort bookings during peak season, we reserve the right to require full payment in advance.
Mode of Payment:
The overseas advance payment can be made through wire transfers to our bank, or by using your Visa or Master Card. After arrival in Nepal, payments can be made either by credit card with a 3.5% extra charge, or by cash.
Policies Regarding Cancellation / NO SHOW / EARLY DEPARTURE
In case of cancellation of tour/travel services due to any avoidable/unavoidable reason/s, we must be informed in writing. Cancellation charges would be effective from the date we receive your communication in writing and cancellation charges would be as stated below:
60 days prior to arrival – No cancellation (Except deposit)
45 days prior to arrival - 10% of the tour/service cost.
15 days prior to arrival - 20% of the tour/service cost.
07 days prior to arrival - 25% of the tour/service cost.
48 hours prior to arrival - 50% of the tour/service cost.
Less than 48 hours or no show - NO REFUND
In the case of custom programs and peak season hotel bookings, a separate cancellation policy will apply, reflecting the specific conditions and expenses involved.
Should you cancel the trip after commencement, we would only be able to provide a partial refund, restricted to the amount we are able to recover from the hoteliers we patronized. For unused hotel accommodations, chartered transportation, missed meals, etc., we do not bear any responsibility for a refund.
Refunds
Regarding refunds for unused services which were paid for and canceled in advance, the refund amount would be calculated using the cancellation policies stated above, and the money refunded would be refunded to the person who had made the payment to us. Please be aware that this process could take 2-4 weeks because of banking procedures. If the refund is being made to a credit card account or to a bank account, any bank charges would be debited from the refund amount.
Your personal belongings:
We are not at all responsible for any possible loss or damage of luggage or personal belongings as it is the responsibility of travelers to take care of their personal property.
Last Minute Booking
We can accept last-minute bookings from overseas no later than seven days before the tour begins, but ONLY FOR NEPAL TRIPS; WE CAN NOT ACCEPT LAST-MINUTE BOOKINGS FOR INDIA, BHUTAN, AND TIBET TRIPS. For all last-minute bookings, we require a full 100% payment. If you are in Nepal and wish to make a trek on short notice, please contact us so that we can attend to your needs with immediate bookings.
Travel Insurance:
We strongly advise our clients to buy a comprehensive insurance policy before booking any trip with us. Please make sure that the insurance company covers all medical, personal accidents, emergency evacuation, trip interruption, and trip cancellations including helicopter rescue, mountaineering hazards, loss or theft of valuables, and flight cancellations.
If you do not complete your trip:
In case of incomplete, trekking, Climbing, expedition, Chitwan National park tour, rafting, Bhutan, Tibet, and India tour and all other any kind of tours in Nepal due to the customers own problems, sickness, and unfavorable weather, the amounts of money paid will not be refundable. people using any kind of illegal smoking, alcohol, other illegal any kind of liquor and illegal drugs, the company is not responsible for any damages. If we need to cancel your trip:
If we have to cancel your trip no later than 15 days before the scheduled starting date due to such unexpected problems as natural disasters, political/military conflict, or anticipated inclement weather, we will try to place you on an alternative trip of a similar type and standard. If you do not wish to go on it, then we will provide a full refund for the trip that we canceled.
A note about domestic flights delayed:
It is important to consider that internal flights to/from Lukla can be subject to disruption. Due to bad weather, flights can sometimes be delayed or even canceled. Although such disruption is rare, we should be prepared for every eventuality, any time of the year, even in the peak trekking season. In case of flight cancellation, it is therefore advised to bring extra money to cover the costs of additional nights in Kathmandu, as this expense will not be included in your package. If you have to stay in Kathmandu longer than planned, you can of course enjoy other activities like cultural tours, rafting, or shopping as you wish, and we can help to arrange this for you. For those travelers on a schedule that cannot be compromised, in case of flight disruption which is very rare, we can arrange an alternative trek to suit personal needs and time constraints.
Our Liabilities
Adventure Club Trek will act only in the capacity......providing other services. All exchange orders......under which those agents provide those services.
All itineraries we give you are sample itineraries, aimed at giving you a general idea of the intended trip's structure. Numerous factors, such as weather, road conditions, local politics and transportation, the physical ability of the participants, etc., may dictate ....well-being. It is, however, very unlikely that the itinerary would be substantially altered; if alterations are necessary the leader will decide what is the best alternative, taking into consideration the best interest of the whole group. When a change does occur, we do everything we can to minimize its effect, but we cannot be responsible for the results of changes or delays. (Please see also "Flight Delays in Kathmandu and Lukla," under the heading” Other Information before your trip starts.") Our rates.....airlines. Since hotels and airlines retain.....notice, in the event of such rate changes we reserve the right to change the rates we quoted before the modification to reflect such rate changes by hotels or airlines. All hotel bookings we make are in accordance with the check-in and check-out times of the hotels unless indicated otherwise in the itinerary.
